Summary

The Human Resources Assistant I provides routine administrative and clerical support to applicants, employees, and Human Resources staff. Under established procedures and guidance, this position greets and directs visitors, provides routine information, performs data entry, maintains records, assists applicants, and supports employee communications, events, recognition, and training activities. The position learns department systems and workflows and escalates questions or exceptions appropriately.

Duties and Responsibilities

To perform this job successfully an individual must be able to perform the following essential duties satisfactorily. Other duties may be assigned to address business needs and changing business practices.

Performs routine data entry using established instructions and procedures.

Uses Canva, Microsoft Word, Excel, PowerPoint, and Outlook to complete basic administrative assignments with guidance as needed.

Uploads personnel information to the HRIS (ADP) and maintains files with guidance and attention to accuracy and confidentiality.

Greets and directs visitors and employees, notifies staff of arrivals, and helps maintain a clean, secure, and welcoming reception area.

Responds to routine employee and applicant inquiries using available information and refers questions outside established guidance to the appropriate Human Resources staff member.

Answers incoming telephone calls, provides routine information, and routes calls to the appropriate parties.

Provides routine assistance with the online employment application process.

Maintains and distributes current employee information, policy and procedure manuals, and other communications as directed.

Assists with employment verification requests according to established procedures.

Assists with the distribution of employee paychecks.

Provides routine administrative support for the planning and execution of company events.

Supports employee recognition programs through assigned administrative tasks.

Maintains inventory records and tracks the use of Greenbrier logo employee gift items.

Assists with employee training activities and related administrative tasks.

Qualifications

The following generally describes requirements to successfully perform the assigned duties.

Minimum Qualifications

High school diploma or equivalency test/GED.

Working knowledge of Microsoft Word, Excel, PowerPoint, and Outlook.

Ability to perform routine data entry and maintain records accurately with guidance.

Ability to follow detailed instructions and established procedures and learn department systems and workflows.

Ability to complete assigned routine work reliably and ask questions or escalate issues when appropriate.

Ability to collaborate, communicate, and give and receive feedback professionally, both verbally and in writing.

Ability to work both independently on assigned tasks and in a team environment.

Ability to receive and interpret routine information and communicate it appropriately.

Preferred Qualifications

Experience in administration or human resources.

Experience using ADP.

Work Environment and Physical Requirements

Work Environment

Occasionally required to be in a plant or shop environment, which will require the use of PPE equipment as environmental conditions dictate but the majority of time in this position will be in a climate-controlled office environment.
