Summary
The Human Resources Assistant II independently provides administrative and operational support to applicants, employees, and Human Resources staff on routine and semi-routine assignments. This position applies established policies and procedures to maintain records and databases, respond to inquiries, support applicants, coordinate documents and recurring workflows, and assist with employee events, recognition, and training activities. The position identifies and resolves common issues and escalates exceptions appropriately.
Duties and Responsibilities
To perform this job successfully an individual must be able to perform the following essential duties satisfactorily. Other duties may be assigned to address business needs and changing business practices.
Performs routine and semi-routine data entry independently and verifies information for accuracy.
Uses Canva, Microsoft Word, Excel, PowerPoint, and Outlook accurately and independently to complete administrative assignments.
Maintains personnel files by uploading information to the HRIS (ADP) in accordance with established procedures and confidentiality requirements.
Manages routine employee and applicant inquiries, applies available policies and procedures, resolves common questions, and escalates exceptions appropriately.
Answers incoming telephone calls, provides routine information, and routes more complex matters to the appropriate parties.
Maintains a clean, secure, and welcoming reception area and coordinates the arrival and direction of visitors and employees.
Independently supports applicants with the online employment application process and resolves common process questions.
Maintains and distributes current employee information, policy and procedure manuals, and other communications according to established schedules and needs.
Processes employment verification requests within established procedures and escalates exceptions.
Coordinates the routine distribution of employee paychecks.
Assists with planning and executing company events and coordinates assigned schedules, documents, and follow-up activities.
Supports employee recognition programs and independently completes recurring administrative activities.
Maintains inventory and tracks the use of Greenbrier logo employee gift items, identifying and resolving common discrepancies.
Assists with employee training activities and coordinates related routine documents, schedules, or communications.
Qualifications
The following generally describes requirements to successfully perform the assigned duties.
Minimum Qualifications
High school diploma or equivalency test/GED.
Ability to communicate fluently in both English and Spanish, verbally and in writing.
Advanced proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
Ability to manage multiple routine and semi-routine assignments concurrently with accuracy.
Ability to identify, plan, start, and complete recurring work independently within established procedures.
Ability to apply policies and procedures, resolve common issues, and recognize when exceptions should be escalated.
Ability to collaborate, communicate, and give and receive feedback professionally, both verbally and in writing.
Ability to work both independently and in a team environment.
Ability to receive and interpret information, exercise sound judgment within established guidelines, and communicate it appropriately.
Preferred Qualifications
One or more years of experience in administration or human resources.
Experience using ADP.
Work Environment and Physical Requirements
Work Environment
Occasionally required to be in a plant or shop environment, which will require the use of PPE equipment as environmental conditions dictate the majority of time in this position will be in a climate controlled office environment.
