This is an individual-contributor management position with significant ownership of facility operations and cross-functional coordination.

What You'll Do

Facilities Management & Planning

  • Develop and oversee facility operations, maintenance programs, and workplace services for the Redwood City location.

  • Establish facility operating priorities, preventive maintenance schedules, and service standards.

  • Evaluate facility needs and recommend improvements to building infrastructure, workspace utilization, and operational efficiency.

  • Plan and coordinate facility improvement projects, workspace modifications, and equipment installations in partnership with internal stakeholders.

  • Serve as the primary point of contact for property management, facility service providers, and building-related matters.

  • Evaluate facility risks, service interruptions, and operational issues, determining appropriate corrective actions and escalation when necessary.

Vendor & Contract Management

  • Manage external vendors and contractors responsible for building maintenance, janitorial services, security systems, waste management, and other facility services.

  • Evaluate vendor proposals, negotiate service terms within delegated authority, and make recommendations on vendor selection and contract renewals.

  • Establish vendor performance expectations and monitor service quality, responsiveness, and cost-effectiveness.

  • Review facility service agreements, invoices, and recurring expenses to ensure alignment with approved budgets and business needs.

  • Identify opportunities to consolidate services, improve vendor performance, and reduce operating costs.

Budget & Operational Oversight

  • Develop and manage the annual facilities operating budget in partnership with Finance and leadership.

  • Monitor facilities expenditures, forecast upcoming costs, and recommend spending priorities.

  • Evaluate the financial and operational impact of facility projects, service agreements, and capital improvement proposals.

  • Maintain appropriate documentation, service records, and facility-related contracts.

  • Provide leadership with updates on facility performance, operational risks, expenses, and recommended improvements.

Safety, Security & Compliance Coordination

  • Partner with HR, Engineering, Operations, and designated safety personnel to support workplace safety and facility-related compliance requirements.

  • Oversee coordination of building inspections, fire and life safety services, emergency preparedness activities, and facility-related corrective actions.

  • Evaluate facility-related safety concerns and coordinate appropriate solutions with qualified service providers and internal stakeholders.

  • Oversee the administration of physical building access and security service providers in coordination with IT and other designated teams.

  • Maintain facility-related inspection records, permits, and documentation as applicable.

Workplace Operations & Cross-Functional Support

  • Partner with HR, IT, Engineering, and Operations to plan workspace requirements and support business needs.

  • Oversee office space allocation, seating arrangements, and workplace improvement initiatives.

  • Coordinate facility requirements for engineering labs, testing environments, and equipment installations with the appropriate technical teams.

  • Establish processes for managing facility service requests and monitoring resolution.

  • Recommend workplace improvements that support employee productivity, safety, and operational efficiency.

What We're Looking For

  • 5+ years of progressive experience in facilities management, corporate workplace operations, or commercial building operations.

  • Experience independently managing facility operations, vendors, budgets, and improvement projects.

  • Strong understanding of commercial building systems, preventive maintenance programs, and facility management practices.

  • Demonstrated ability to evaluate operational needs, exercise independent judgment, and recommend practical business solutions.

  • Experience managing vendor contracts, service agreements, and facility-related expenditures.

  • Working knowledge of workplace safety, emergency preparedness, and applicable building and facility regulations.

  • Strong project management, organizational, and problem-solving skills.

  • Ability to work independently, establish priorities, and manage competing business needs.

  • Excellent communication skills and experience partnering with cross-functional teams and senior leadership.

  • Proficiency with Google Workspace, Microsoft Office, and facilities management or work-order systems.

  • Ability to work on-site in Redwood City.

Nice to Have

  • Experience supporting technology, robotics, hardware engineering, manufacturing, or R&D facilities.

  • Experience managing facilities in a small to midsize organization.
